* Duties and Responsibilities *
*Administrative support to the Operations Team.
*Follow, and always enforce transport office administration procedures.
*Keep Fleet Manager informed of any administrative irregularities. *To record and maintain all Stock receipts and Dispatches from Warehouse.
*To record all fuel, kilometres and workshop expenditure against each truck on the fleet efficiency tracker.
*To prepare driver tolls and trip money schedules, for sign off by Fleet Manager.
*To capture vehicle licensing, COF and permit records or requirements up to date, and to prepare renewals in advance to ensure continuity.
*To Maintain all driver files up to date and ensure compliance with all regional requirements.
*To assist with physical debrief with drivers, including vehicle inspections, with pictures filed in each trip file.
*To prepare and carry out, BV inspections, follow up and finalise on BV COC’s for all clients.
*To ensure all trip records are kept up to date, and files are opened for all loads generated.
*To close and submit files for invoicing to General Manager sign off once offloaded.
*Organised with a methodical approach to tasks.
*Ability to consistently follow set company procedures.
*Confident telephone manner.
*Effective oral and written communicator.
*The ability to prioritise workload and work to deadlines.
*Able to work from own initiative and as part of a team.

*Experience of working within a transport office environment.
